The Natural Wellbeing Clinic Ltd ("we", "us", "the clinic") is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use it, and the rights you have over it.

We are the data controller for the information we hold about you.

What information we collect

We only collect what we need to provide our services. Depending on how you contact us, this may include:

  • Your name, phone number, email address and postal address
  • Details you give us when you enquire or book, by phone, email or our contact form
  • Health information you share with us, such as symptoms, medical history, medication, dietary information and clinical test results
  • Records of your appointments and the advice or treatment given
  • Payment details (payments are handled by our payment provider; we do not store card numbers)
  • Basic information about your visit to this website, described under "Cookies and our website" below

Special category (health) data

Information about your health is "special category" data under data protection law. We treat it with extra care. We collect it only to assess your needs and provide safe, suitable treatment.

Our lawful basis for processing your health data is your explicit consent, which you give when you choose to book and share this information with us. You can withdraw consent at any time by contacting us, though this may mean we can no longer provide treatment.

How we use your information

We use your information to:

  • Respond to your enquiry
  • Arrange and manage your appointments
  • Assess your health and provide treatment
  • Keep accurate clinical records
  • Take payment
  • Contact you about your care, results or follow-ups

We do not use your information for third-party advertising. We do not sell your data to anyone.

Contact form processing

When you submit our contact form, we use Brevo to send the enquiry to the clinic and notify Ann. Your details are not added to any marketing list from this process alone.

Marketing communications

We will only send you emails about treatments, news or offers if you have ticked the opt-in box on our contact form or otherwise given us clear consent. We are not currently sending marketing emails, but if this changes, you can unsubscribe at any time using the link in any marketing email, or by emailing us at ann@healthycolon.co.uk and asking to be removed.

Lawful basis for processing

Under UK GDPR we rely on:

  • Consent for health information and for any marketing you opt into
  • Contract to provide the services you book
  • Legal obligation where we must keep records by law
  • Legitimate interests to run the clinic, respond to enquiries and understand how our website is used, balanced against your rights

Who we share it with

We keep your information confidential. We only share it where necessary:

  • Brevo (Sendinblue SAS, France) sends the emails generated by our website contact form
  • Google Ireland Limited provides Google Analytics, which tells us how our website is used. This is website data only. It never includes your health information or anything you tell us in the clinic
  • Natural Dispensary, our supplement supplier, where you order supplements through us
  • An accredited laboratory, where you have a clinical test such as hair mineral analysis
  • Our payment provider, to take payment
  • Our website host and IT providers, who may see data incidentally while maintaining our systems
  • Professional advisers or authorities, where the law requires it

These organisations act on our instructions and may only use your information for the purpose we give it to them. We never share your information for marketing purposes.

Sending information outside the UK

Most of your information stays in the UK or the European Economic Area. There are two exceptions:

  • Google Analytics. Website analytics data may be transferred to and stored on servers in the United States. Google relies on the UK Extension to the EU–US Data Privacy Framework, and on Standard Contractual Clauses with the UK International Data Transfer Addendum
  • Brevo. Enquiry emails are processed in the European Economic Area, which the UK recognises as providing adequate protection

Where a transfer outside the UK is necessary, we make sure an approved safeguard is in place. You can ask us for details.

How long we keep it

We keep your information only for as long as we need it:

When information is no longer needed, we delete it or securely destroy it.

Cookies and our website

Our website sets two cookies, both used only to measure how the site is used, through Google Analytics 4. We do not use advertising cookies, we do not use tracking pixels, and we do not track you across other websites. Google Signals is switched off, which means your visit is not linked to a Google advertising profile.

Google Analytics tells us things like which pages are read, how visitors arrived, the town or city a visit came from, and the type of browser and device used. It does not tell us who you are.

You can switch analytics off at any time using the control on our Cookie Policy page. Full details of each cookie are on that page.

Automated decision-making

We do not make any decisions about you using automated processing or profiling.

Your rights

You have the right to:

  • Ask for a copy of the information we hold about you
  • Ask us to correct anything that is wrong
  • Ask us to delete your information, where there is no legal reason to keep it
  • Object to or restrict how we use it
  • Ask us to transfer your information to another provider, where that applies
  • Withdraw consent at any time

To exercise any of these, contact us using the details above. We will respond within one month. There is no charge.

Complaints

If you are unhappy with how we have handled your personal information, you can complain to us directly. Email ann@healthycolon.co.uk or write to us at the address above, and tell us what has gone wrong.

When we receive your complaint:

  • We will acknowledge it in writing within 30 days of receiving it
  • We will take appropriate steps to investigate it without undue delay
  • We will tell you the outcome of that investigation, in writing

You also have the right to complain to the Information Commissioner's Office at any time. You do not have to come to us first, and complaining to us does not remove that right.
